Safeguarding Policy of the Association for Information Technologies and Internet Security

Prepared within the framework of the Experience AI Safeguarding Policy Guide.

Introduction

As the Association for Information Technologies and Internet Security
(“BTİDER” or the “Association”), we attach great importance to the safety,
well-being and protection of the rights of young people and vulnerable groups in particular.

For this purpose, we have established a Safeguarding Policy for all our members
and volunteers. This document sets out our commitments and procedures to protect
everyone involved in the activities of our Association from potential harm.

1. Safeguarding Officer

Appointment of a Safeguarding Officer: A “Safeguarding Officer”
has been appointed within our Association. This person is responsible for implementing,
updating and applying safeguarding policies and procedures.

Role and Responsibility: The Safeguarding Officer manages all concerns
and incidents related to the welfare of children and vulnerable groups and, where necessary,
contacts relevant institutions such as local social services, law enforcement authorities
or other competent bodies.

2. Legal Checks for Staff and Volunteers

Legal Compliance: Staff and volunteers who will have direct interaction
with young people or vulnerable groups must undergo legal checks in accordance with the
relevant legislation of the country, including an annual criminal record check.

Regular Updates: These checks may be renewed periodically, for example
every one to three years, depending on the Association’s risk assessment.

Training and Awareness: Newly recruited staff or volunteers are informed
about the safeguarding policy and practices before starting their duties and receive the
necessary training.

3. Code of Conduct

Positive Interaction: Our staff and volunteers are expected to display
a positive, supportive and respectful attitude, especially when working with children
and vulnerable groups.

Unacceptable Behaviour: Physical, emotional or sexual abuse, bullying,
discrimination, degrading language or degrading behaviour are strictly prohibited.

Boundaries and Distance: In communication with minors in particular,
care is taken to comply with the Association’s guidance regarding social media, phone
communication and one-to-one meetings.

4. Incident Management Procedures

Reporting and Assessment: Any suspicious or concerning situation related
to safeguarding must be reported immediately to the Safeguarding Officer or relevant
managers through the official channels of our Association:

Steps to Be Followed:

  • When a report or complaint is received, a preliminary review is carried out as soon as possible.
  • Where necessary, cooperation is established with local law enforcement authorities or relevant public institutions.
  • If an allegation concerning a staff member or volunteer is serious, the person concerned may be suspended from duty until the investigation is completed.

Confidentiality and Security: During the incident management process,
the identity of the victim and information relating to the matter are kept confidential
to the greatest extent possible.

5. Recognising Types of Abuse

Awareness Training: Regular training is organised to help our staff
and volunteers recognise different types of abuse, including physical abuse, emotional
abuse, sexual abuse and cyberbullying.

Signs and Indicators: All personnel are encouraged to be attentive to
possible changes observed in participants, including children, young people and vulnerable
individuals, such as sudden behavioural changes, a decline in school performance,
unexplained injuries or similar indicators.

6. Incident Reporting Guide

Reporting Mechanism: BTİDER provides an easily accessible and understandable
system for reporting safeguarding-related incidents or concerns. Examples include:

Easy Access: These reporting methods are available to all stakeholders
and are intended to be easily and quickly accessible.

Confidentiality and Support: The identity of the reporting person,
if they are of legal age, is not disclosed without their consent. Where necessary,
cooperation may be established with relevant institutions to provide legal or psychological support.

7. Policy Updates

Regular Review: Our safeguarding policy is reviewed regularly in line
with legal changes or internal institutional needs.

Responsibility for Updates: The Safeguarding Officer is responsible for
ensuring that this policy remains up to date. Any changes are published on our website
and announced to staff and volunteers.

8. Accessibility

Transparency: This Safeguarding Policy is published on our Association’s
website, for example at www.btider.org.tr, and is arranged in a way that
allows easy access for everyone.

Digital and Printed Version: A printed copy of the policy is kept in the
Association’s physical office or in appropriate areas at event venues.
